Information we collect

Contact and consultation forms. When you submit a form or book a discovery call, we collect the information you provide — typically your name, email address, phone number, and a description of your practice or question.

AI chat assistant. Our website offers an AI-powered chat assistant. Messages you send in the chat are processed to generate responses and may be reviewed by our team so we can follow up and improve the service. Chat transcripts are retained for up to 30 days and then deleted. If you share contact details in the chat so we can reach you, those details are forwarded to us by email. Please do not share medical, financial, or other sensitive personal information in the chat.

Analytics. We use Google Analytics 4 to understand how visitors use the site (pages viewed, approximate location, device type). Google Analytics uses cookies and collects usage data subject to Google's privacy policy. We also keep a first-party visit log — pages viewed, links clicked, time on page, and approximate location at the city level — processed through our own infrastructure, not shared with advertisers, and deleted after 90 days.

How we use information

We use the information you provide to respond to your inquiries, schedule and prepare for consultations, provide and improve the chat assistant, understand how the site is used, and communicate with you about our services. We do not sell your personal information, and we do not use it for third-party advertising.

Service providers

We rely on a small number of service providers to operate this site: website hosting, Cloudflare (chat infrastructure and security), Anthropic (AI processing for the chat assistant), an email delivery provider, and Google (analytics). These providers process data on our behalf and are not permitted to use it for their own purposes.

Data retention

Form submissions and email correspondence are retained as long as needed to serve you and meet our business and legal obligations. Chat transcripts are retained up to 30 days. Analytics data is retained per our Google Analytics settings.

Your choices and rights

You may request a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it by emailing info@guidestonemanagement.com. You can block or delete cookies in your browser settings, which may limit analytics collection.

Children

This site is intended for healthcare practice owners and administrators. It is not directed to children under 13, and we do not knowingly collect information from them.

We may update this policy from time to time. The effective date above reflects the latest revision. Material changes will be posted on this page.
